BRIEF
An Appointment Reminder Text Sample That Bills as One Segment, Not Three
Copy this: "Lakeside Auto Body: reminder of your drop-off Tue Nov 10 at 8:00am, 412 Mill St. Reply C to confirm or R to reschedule. Reply STOP to opt out." It is 142 plain characters, so it bills as one text. Add a single emoji and the same reminder bills as three.
Two samples you can copy, with the character count done for you
Here are two reminders written to stay inside a single text. Swap in your own business name, date, time and address. Then recount before you save the template.
Service business (body shop, contractor, photographer)
Lakeside Auto Body: reminder of your drop-off Tue Nov 10 at 8:00am, 412 Mill St. Reply C to confirm or R to reschedule. Reply STOP to opt out.
142 characters, 1 segment. It names the sender first, gives the day, date, time and place, and offers one action. It ends with the opt-out line.
Clinic or anyone handling health information
Northside Clinic: reminder of your appointment Thu Nov 12 at 2:30pm. Reply C to confirm or call 555-0142 to change. Reply STOP to opt out.
138 characters, 1 segment. Notice what is missing: the doctor's specialty, the procedure and the reason for the visit. A text can sit on a lock screen that a spouse or coworker can read. "Your colonoscopy prep starts tonight" is a privacy problem. "Your appointment" is not.
Both samples use only straight apostrophes, plain hyphens and no emoji. That is deliberate, and the next section explains why it matters more than the wording. If you want more variations on tone, such as a two-day reminder, a same-day nudge or a deposit reminder, we collected them in appointment reminder text examples that fit in one message.
Why one emoji turns one text into three
Carriers bill business texts by the segment, not by the message. A plain-text message uses an encoding called GSM-7, which fits 160 characters in one segment. Go over 160 and the message is split, and each piece then holds only 153 characters, because part of the space is used to stitch the pieces back together.
The catch is that a single character outside the GSM-7 set switches the entire message to a different encoding, UCS-2. Under UCS-2 one segment holds only 70 characters, or 67 per piece once it splits. The usual culprits:
- Any emoji. Most emoji count as two characters on top of that.
- Curly quotes and apostrophes. Word, Google Docs and phone keyboards often turn ' into ’ automatically.
- Long dashes (—) and the ellipsis character (…).
A few GSM-7 characters, such as € [ ] { } and ~, do not switch the encoding but count as two characters each. Here is what that does to the body shop sample above, assuming one reminder per appointment and 400 appointments a month:
| Version | Characters | Encoding | Segments per text | Segments per 400 reminders |
|---|---|---|---|---|
| Plain sample | 142 | GSM-7 | 1 | 400 |
| Plain sample + "See you soon!" | 156 | GSM-7 | 1 | 400 |
| Plain sample + "See you soon! 🚗" | 159 | UCS-2 | 3 | 1,200 |
| Plain sample with one curly apostrophe | 142 | UCS-2 | 3 | 1,200 |
| Longer plain version (200 characters) | 200 | GSM-7 | 2 | 800 |
To put a dollar figure on it, look up your provider's per-segment price for your country and multiply it by the last column. The ratio holds whatever the price is: the emoji version costs three times as much to send. Before you save any template, paste it into Twilio's free segment calculator (linked below). It shows the encoding and segment count, and highlights the character that caused the switch.
What every reminder text needs, and what to keep out
The wording matters less than these five things. A template site will rarely mention most of them.
- Your business name first. Clients delete texts from numbers they don't recognize. CTIA, the US wireless industry group whose guidelines carriers enforce, expects the sender to be identifiable.
- Day, date and time together. "Tue Nov 10 at 8:00am" catches the client who misreads one of the three. Add the address only if it changes or is hard to find.
- One action. Offer either "Reply C to confirm" or a number to call, not a menu. Only invite replies if someone, or something, actually reads them.
- An opt-out line. "Reply STOP to opt out" costs 22 characters, and carriers expect it. Every sample above leaves room for it.
- Consent collected at booking. Add a checkbox on your booking form that says the client agrees to text reminders. In the US, the FCC's TCPA rules treat informational texts more leniently than marketing.
Keep out discounts, review requests and "book your next visit" pitches. Putting a promotion in a reminder can turn an informational text into a marketing text, and marketing texts need stronger written consent. Send those separately, to people who agreed to them. If you text from a regular US phone number through software, your provider will also need you to register for A2P 10DLC. Unregistered business texts get filtered or blocked, and a perfect template does nothing if it never arrives.
Which tool should send it
The cheapest way to send reminders is a booking tool that already includes texts, or one that bills per segment and shows you the count. Avoid any setup where you paste a template into a separate texting app by hand. That is where curly apostrophes sneak in, and where reminders get forgotten on busy days. We compared the options in the best free scheduling software is the one that sends reminders for free.
To be plain about our own product: Fynl does not send SMS yet. It sends booking confirmations and reminders by email from your connected Gmail, and an automation can fire them a set number of hours before each appointment. If your clients reliably read email, which is often true for B2B work and wedding photographers, that may be enough. If you run a clinic or a shop where no-shows come from people who never open email, choose a tool with built-in text reminders today. Square Appointments, Acuity Scheduling and similar booking apps offer text reminders. Check each plan page to see whether texts are included or billed per message, because that changes the math in the table above.
Whichever tool you choose, test it once with your own phone number. Read the reminder exactly as a client will see it, then run it through the segment calculator. That takes two minutes and catches both the wrong-time bug and the triple-billing bug.
Questions people also ask
How long should an appointment reminder text be?
Under 160 characters of plain text, with no emoji and no curly quotes. That bills as one segment. Once any non-standard character appears, the limit drops to 70 characters per segment, and a typical reminder will bill as two or three.
Do I have to include 'Reply STOP to opt out' in a reminder?
US carriers and CTIA guidelines expect business texts to give recipients a clear way to opt out. It costs 22 characters, and most texting providers process STOP replies automatically. Leaving it out risks your messages being filtered.
Can I add a discount or review link to the reminder?
Better not. A promotion can turn an informational reminder into a marketing message, which needs stronger consent under US rules. Send reviews and offers as a separate message, to clients who agreed to receive them.
What should a medical or clinic reminder leave out?
The reason for the visit, the procedure, the provider's specialty and any test results. Use the clinic name, date, time and a callback number. Texts appear on lock screens that other people can see.
