BRIEF

ChatGPT for a small business costs $20 to $30 a person per month, and most shops need fewer seats than they think

ChatGPT is free to try, $20 a month per person on Plus, and $25 to $30 per seat on the Business plan (formerly Team), which has a two-seat minimum. For most small businesses, the real decision is how many people get a seat, not which plan.

WHAT THIS ADDSFor a team of three or more, Business costs about $180 to $360 a year more than giving everyone Plus. That extra money buys one thing a small business actually needs: when an employee leaves, their chats, files and custom GPTs stay with the business instead of walking out on a personal login. A solo owner should almost never buy Business, because the two-seat minimum means paying for a chair nobody sits in.

The short answer is $0, $20, or $25 to $30 per person

ChatGPT has four tiers a small business will run into. These are the list prices on OpenAI's pricing page at the time of writing. OpenAI has renamed and repriced plans before, including renaming Team to Business in 2025, so confirm on the page before you buy.

  • Free: $0. It works for occasional use. You get lower message limits, and you get pushed to smaller models when you hit them.
  • Plus: $20 a month per person. This is an individual account with higher limits and the current models. It is what most owners mean when they say they "pay for ChatGPT."
  • Business: $25 per seat per month billed annually, or $30 billed monthly, minimum two seats. You get a shared company workspace, an admin who controls who has access, and your data is excluded from model training by default.
  • Pro: $200 a month per person. It is built for heavy individual users who need the top reasoning models and near-unlimited use. A body shop or a photography studio does not need it.

Enterprise also exists, priced through OpenAI's sales team. It is aimed at companies far bigger than the ones reading this.

None of these plans include the API, which is the pay-per-use access that other software plugs into. That is billed separately. We covered why in why your Plus subscription does not cover the ChatGPT API.

What it costs a one-, three- and five-person business per year

The monthly price hides the real number, because ChatGPT is priced per person. Here is the annual cost at list price.

Plan1 person3 people5 people
Free$0$0$0
Plus ($20/person/mo)$240$720$1,200
Business, annual ($25/seat/mo, 2-seat min)$600 (2 seats)$900$1,500
Business, monthly ($30/seat/mo, 2-seat min)$720 (2 seats)$1,080$1,800
Pro ($200/person/mo)$2,400$7,200$12,000

Two things stand out. First, a solo owner on Business pays $600 to $720 a year for features they cannot use. The admin console and shared workspace mean nothing when there is nobody to share with. Plus at $240 is the right answer for one person. You can turn off training on your chats in Plus under Settings, then Data Controls.

Second, the gap between Plus and Business narrows as a share of the bill as you grow. It is $180 a year for three people on annual billing and $300 for five. That is the number to weigh against the benefits below.

Where the obvious choice is wrong

Giving staff Plus to save money. It is cheaper, and it works fine until someone quits. A Plus account belongs to the person, not the business. If your office manager built a set of quote templates and customer reply prompts in their personal ChatGPT, those leave with them. On Business, the workspace and its history belong to the company. You remove the seat and keep the work. For three or more people who use ChatGPT for client-facing work, that is worth the extra $15 a month across the team.

Sharing one login. A clinic with four front-desk staff on one Plus account is breaking OpenAI's terms, which treat Plus as an individual plan. In practice, it also mixes everyone's patient-adjacent questions into one history that anyone with the password can scroll through. Don't do it.

Buying a seat for everyone. Look at who will open ChatGPT more than a few times a week. In a six-person contracting firm, that is usually the owner and whoever writes estimates. Two Business seats cost $600 a year. Six cost $1,800. The crew on site can use the free tier for the odd question.

Buying Pro because it sounds professional. "Pro" is not the business plan. It is a $200-a-month individual tier for people who live in the tool all day. If you are writing marketing emails and summarizing supplier quotes, Plus or Business handles it.

When a ChatGPT subscription is the wrong thing to buy

A seat is the right purchase when a person sits down and chats: drafting a tricky email, rewording a contract clause, planning a price increase. It is the wrong purchase when you want the AI to do a job inside your other software. Examples include drafting a reply to every new booking inquiry, summarizing a lead's history before a call, or writing the follow-up on a quote nobody has answered.

Those jobs run on the API, which charges per use instead of per person. For routine drafting, that often comes to a few dollars a month rather than $20 a head. It depends on volume and model, and you can find your own number with the method in what you actually pay for with an AI API key. For a rundown of which jobs are worth automating at all, see what AI can do for a small business and what each job costs.

Plenty of software sells that API access back to you with a markup baked into the monthly fee. Fynl takes the other approach. You paste in your own OpenAI or Claude key, pay OpenAI or Anthropic directly at their rates, and the portal's $49 a month covers the CRM, booking, invoices and automations. It does not do SMS or phone calls yet. Many owners end up with one Plus seat for themselves plus a pay-per-use key for the background jobs. That combination usually costs less than a Business seat for everyone.

DO THISIf you work alone, buy Plus at $20 a month and turn off training in settings. If three or more people use ChatGPT for client work, buy Business seats only for them on annual billing, and run any background AI jobs on a pay-per-use API key instead of more seats.

Questions people also ask

Can I buy ChatGPT Business for just myself?

Not at one seat. The Business plan has a two-seat minimum, so a solo owner pays at least $50 a month on annual billing or $60 on monthly billing. Plus at $20 a month is the better fit for one person.

Does ChatGPT Business use my company's data to train its models?

Not by default. OpenAI says Business and Enterprise workspace data is excluded from training. On Plus, you can switch training off yourself under Settings, then Data Controls.

Can my staff share one Plus account?

OpenAI treats Plus as an individual plan, so sharing a login breaks its terms. It also puts everyone's chats in one history. Buy seats only for the people who use it regularly.

Does a ChatGPT subscription let other software use AI on my behalf?

No. Plus, Business and Pro cover the chat app only. Software that drafts emails or summarizes leads for you uses the API, which is billed separately per use.
