Wedding & Event Planner team, 8 agents

AI agents for
wedding and event planners

A planner's work is a long run of deadlines: the 12-week checklist, the 6-week guest list, the 2-week timeline, the vendor confirmations. Meanwhile new couples keep asking whether your date is free. This team handles the nudges and the first replies, so your attention stays on the events that are already booked.

An add-on to any Fynl plan: $19.99 a month or $200 a year. Drafts only, so nothing is sent without you.

Your planning team: 8 agents at 5 desks

8 agents work at 5 desks (Leads, Clients, Money, Reviews and Marketing). Planning Milestone Reminders drafts the right note for each event 12, 6, 2 and 1 weeks out, using names and dates from your emails and leaving a [BRACKET] for anything it cannot find. The Speed-to-Lead Replier answers new inquiries with a starting range from your price list and asks for the date, guest count and rough budget. Everything arrives as a draft; nothing is sent without you.

Leads desk, 2 agents

Answers new inquiries and follows up with the ones who go quiet.

Speed-to-Lead Replier

Drafts a personal reply with a starting price to every new couple or event inquiry.

Quiet-Lead Follow-up

What a week looks like

Each agent works on its own days and hours, in your business's time zone. This is a normal week for a planning business, and it comes straight from the schedules in the team above.

  1. Monday

The Weekly Owner Digest lands at 7 AM with new inquiries still waiting for an answer, the events coming up in the next seven days, money owed and the one thing to do first. At 10 AM the Proposal & Invoice Chaser drafts its nudges, with retainers and deposits first.

    • 7 AM Weekly Owner Digest
    • 8 AM to 8 PM Speed-to-Lead Replier
    • 9 AM Planning Milestone Reminders
    • 10 AM Proposal & Invoice Chaser
    • 10 AM Quiet-Lead Follow-up
  2. Tuesday

The Venue & Vendor Partner Notes agent finds two real venues, caterers, florists or rental companies near you and drafts a personal intro. The Local SEO Writer saves a blog draft on a question couples ask, such as a planning timeline or a vendor checklist, and the Review & Referral Asker drafts requests for events that ended about a week ago.

    • 8 AM Local SEO Writer
    • 8 AM to 8 PM Speed-to-Lead Replier
    • 9 AM Planning Milestone Reminders
    • 10 AM Quiet-Lead Follow-up
    • 10 AM Venue & Vendor Partner Notes
    • 11 AM Review & Referral Asker
  3. Wednesday

Planning Milestone Reminders still checks every event on your calendar at 9 AM. The Proposal & Invoice Chaser follows up on proposals and contracts that have gone three days without a reply.

    • 8 AM to 8 PM Speed-to-Lead Replier
    • 9 AM Planning Milestone Reminders
    • 10 AM Proposal & Invoice Chaser
    • 10 AM Quiet-Lead Follow-up
  4. Thursday

The Local SEO Writer drafts a Google Business post, and another pair of venue and vendor intros goes into your drafts.

    • 8 AM Local SEO Writer
    • 8 AM to 8 PM Speed-to-Lead Replier
    • 9 AM Planning Milestone Reminders
    • 10 AM Quiet-Lead Follow-up
    • 10 AM Venue & Vendor Partner Notes
  5. Friday

The Review & Referral Asker prepares another round of requests, and the Proposal & Invoice Chaser makes its last pass of the week so open invoices are not left over the weekend.

    • 8 AM to 8 PM Speed-to-Lead Replier
    • 9 AM Planning Milestone Reminders
    • 10 AM Proposal & Invoice Chaser
    • 10 AM Quiet-Lead Follow-up
    • 11 AM Review & Referral Asker
  6. Saturday and Sunday

The Speed-to-Lead Replier keeps checking seven times a day, from 8 AM to 8 PM, so an inquiry that arrives on a weekend has a draft waiting within a couple of hours during the day.

    • 8 AM to 8 PM Speed-to-Lead Replier

How it stays safe

The agents can read your leads, calendar, invoices and inbox, and they can write drafts and tasks. They cannot send an email, publish a post, book an appointment or change a lead or an invoice. Fynl does not send text messages or answer phone calls yet, and neither do the agents.

Drafts only

Every email, post and blog entry is saved as a draft: in your Gmail drafts, your Social Planner, Websites then Blog, or your task list. The agents have no way to send or publish anything.

You approve

You read it, change it and send it yourself. Each run ends with a short plain-English report of what the agent did and where its drafts are waiting.

Your own AI key

The agents run on your own Claude or ChatGPT API key, not a chat subscription. You pay the AI company directly, and you can revoke the key whenever you like.

A monthly limit

You set a monthly spending limit for the agents. It starts at $25. If they reach it they pause until you raise it or the month turns over, and you are told.

In a planning business, specifically

  • It uses event dates, names and counts only from your calendar and emails. Anything it cannot find is left as a [BRACKET] for you.
  • It never invents a price. The starting range comes from your price list or past emails; otherwise the draft says [PRICE].
  • Vendor notes are drafts on the existing thread. The agent never emails a vendor itself.
  • It never threatens and never mentions late fees or collections you have not set. An invoice 21 or more days overdue becomes a task for you to call.

How you start, and what it costs

Pick your team

In Agents Office, choose your kind of business. The whole planning team is set up in one click, each agent at its own desk.

Connect your AI key

Connect Gmail and add your own Claude or ChatGPT API key under Account then AI. Without a key an agent waits at its desk.

Check the drafts

Open your drafts, edit what you like and send. You can change, pause or remove any agent whenever you want.

$19.99/month
or
$200/year
about two months free
  • An add-on that works with any Fynl plan (Starter is $49 a month). It is not part of the Starter or Agency plan.
  • Set up the whole team for your kind of business in one click. Cancel any time.
  • The AI itself is billed to you by Anthropic or OpenAI on your own key, with a monthly limit you set. Fynl adds nothing on top.

Questions

About the planning team

Where does it get my event dates?

From your Fynl calendar and your email threads, up to 120 days ahead. It uses names and dates only from your emails and leaves a [BRACKET] for anything it cannot find, instead of guessing.

Does it write to my vendors?

It drafts. Two weeks before an event it prepares a short note to each vendor on the thread, asking them to confirm arrival and setup needs, next to the final-details email for the client. You read each one and send it yourself.

What does a first reply to a couple look like?

It uses the couple's name and one detail from their message, gives a starting range from your price list, asks for their date, guest count and rough budget, and offers a free 20-minute call. It stays under about 120 words and checks your calendar so it never offers a date you have booked.

Does it work for corporate events and parties as well as weddings?

Yes. The wording is written for couples and hosts, and the referral ask mentions weddings, milestone parties and corporate events. You can change, pause or remove any agent after setup.

Can the planning team run on my ChatGPT Plus or Claude subscription?

No. A chat subscription is not an API key. If you already use ChatGPT Plus or Claude Pro to word difficult client emails, keep using it for that. Claude Pro, Claude Max, ChatGPT Plus and similar plans can't be connected to Fynl. The agents run on your own API key, which you create on the company's developer site (console.anthropic.com for Claude, platform.openai.com for ChatGPT) and pay for per use. If you pay for Claude Max, it includes monthly API credits ($100 a month on Max 5x, $200 on Max 20x) that you can link to your key in Claude's billing settings. The $19.99 a month pays for Agents Office itself; Fynl adds nothing on top of what the AI company charges.

Give your planning business a team that does the follow-up
