New Patient Inquiry Replier
Drafts a careful, quick reply to every new patient or treatment inquiry.
Weekdays at 8 AM, 10 AM, 12 PM, 2 PM, 4 PM, 6 PM and 8 PM
A new-patient inquiry needs a careful answer, quickly: warm, accurate and free of anything that sounds like medical advice. That balance is hard to strike between appointments. This team drafts it for you, and keeps treatments, conditions and health details out of every message it writes.
An add-on to any Fynl plan: $19.99 a month or $200 a year. Drafts only, so nothing is sent without you.
8 agents work at 5 desks (Leads, Clients, Money, Reviews and Marketing). The New Patient Inquiry Replier drafts a short reply with a starting range only if your price list has one (otherwise it says a visit is needed) and invites the person to book a first visit. Pain or an emergency goes to the top of your list as a task for a same-day call-back. The agents give no medical advice, promise no results and never repeat health details back. Every message is a draft for you or your front desk to review.
Answers new inquiries and follows up with the ones who go quiet.

Each agent works on its own days and hours, in your business's time zone. This is a normal week for a practice, and it comes straight from the schedules in the team above.
The Weekly Owner Digest is ready at 7 AM: new inquiries, visits booked, money owed and the one thing to do first. At 10 AM the Recall & Rebooking agent finds patients whose last visit was long enough ago, using the interval your emails or website state, and drafts a note that it is time to book their next visit. The Balance Reminder drafts gentle reminders that mention only “your visit on” a date.
The Local SEO Writer saves a general patient-education blog draft, such as what to expect at a first visit, with a line that it is general information and not medical advice. The Referral Partner Notes agent drafts intros to doctors, specialists, physical therapists and local businesses that could refer patients, and the Review & Referral Asker drafts requests for visits from about a week ago.
Recall & Rebooking runs again, and the Unbooked Inquiry Follow-up keeps working through people who asked about a visit but never booked, on day 2, 5, 8, 12 and 16, including a general note on what to expect at a first visit.
The Local SEO Writer drafts a Google Business post. The Balance Reminder makes its second pass, and after 21 days it adds a task for you to call instead of writing again.
The Review & Referral Asker prepares another round of requests, and the Unbooked Inquiry Follow-up sends its last notes of the week.
Nothing runs on Saturday or Sunday unless you press Run on an agent. The team picks up again on Monday at 7 AM.
The agents can read your leads, calendar, invoices and inbox, and they can write drafts and tasks. They cannot send an email, publish a post, book an appointment or change a lead or an invoice. Fynl does not send text messages or answer phone calls yet, and neither do the agents.
Every email, post and blog entry is saved as a draft: in your Gmail drafts, your Social Planner, Websites then Blog, or your task list. The agents have no way to send or publish anything.
You read it, change it and send it yourself. Each run ends with a short plain-English report of what the agent did and where its drafts are waiting.
The agents run on your own Claude or ChatGPT API key, not a chat subscription. You pay the AI company directly, and you can revoke the key whenever you like.
You set a monthly spending limit for the agents. It starts at $25. If they reach it they pause until you raise it or the month turns over, and you are told.
In Agents Office, choose your kind of business. The whole clinic team is set up in one click, each agent at its own desk.
Connect Gmail and add your own Claude or ChatGPT API key under Account then AI. Without a key an agent waits at its desk.
Open your drafts, edit what you like and send. You can change, pause or remove any agent whenever you want.
Agents, schedules and prices on this page were last checked on October 17, 2026.
The agents read the email in the Gmail account you connect, and Agents Office is not a medical records system. They are written to keep treatments, conditions and insurance details out of everything they draft, but they can still read what is in the inbox. If your practice has rules about patient information, check them before you connect an inbox that holds it, and contact us if you need more detail.
Only in general terms. It gives a starting range only if your price list has one; otherwise it says a visit is needed. It does not give medical advice or promise results, and it invites the person to book a first visit.
The Recall & Rebooking agent looks at patients whose last visit was long enough ago for their next one, using the interval your emails or website state, such as a six-month check-up. It skips anyone who already has a visit booked and writes at most ten notes per run.
Yes. The team is written for dental offices, clinics and med spas: the same careful replies, recall notes, review requests and referral intros, with health details kept out of every message.
No. A chat subscription is not an API key. Keep your chat subscription for your own drafting. Claude Pro, Claude Max, ChatGPT Plus and similar plans can't be connected to Fynl. The agents run on your own API key, which you create on the company's developer site (console.anthropic.com for Claude, platform.openai.com for ChatGPT) and pay for per use. If you pay for Claude Max, it includes monthly API credits ($100 a month on Max 5x, $200 on Max 20x) that you can link to your key in Claude's billing settings. The $19.99 a month pays for Agents Office itself; Fynl adds nothing on top of what the AI company charges.
8 agents, one click to set up, and every draft waits for your approval. $19.99 a month, or $200 a year.
